A guide to using the citation manager RefWorks

Access to RefWorks after completion of studies

After completing your studies at Iona, you will eventually lose access to your Iona network account and associated resources. To prevent losing your references, you can export your entire RefWorks library into another citation manager or change the status and email address on your RefWorks account. 

Continue access to RefWorks Citations

By changing your status and email address in RefWorks you can still access RefWorks after you complete your studies as long as Iona Libraries continues to subscribe to RefWorks. We recommend that you also export references from time to time to ensure that you do not lose your research.

These steps will allow you to continue using your RefWorks account after you leave Iona University.

  • Log on to RefWorks
  • At the top right of the RefWorks screen click on your Name
  • Click on Settings
  • Change your role to Alumni
  • Change the email address to your personal non-Iona email address

Full library exports allow you to export your references all at once. While this saves time, it will not allow you to preserve your RefWorks folder structure. If you are fond of your organization scheme, export references folder-by-folder instead of all at once.

To export your entire library:

  1. On your RefWorks homepage, click "All References" in the left-side menu
  2. Click the "Share" button in the top banner of your RefWorks homepage
  3. In the drop-down "Share" menu, choose "Export References":

  4. In the "From" submenu in the "Export References" menu, choose "All References." In the "Format" submenu in the "Export References" menu, choose either BibTeX or RIS Format:

    Both BibTeX and RIS formats work across various citation managers.
  5. Click "Export"
  6. Save the file on your computer and upload the file into your new citation manager

Folder-by-folder exports may take more time, but it allows you to maintain the organizational structure you created in RefWorks.

To export your citations folder-by-folder:

  1. Select the folder on your RefWorks homepage you would like to export
  2. Click the "Share" button in the top banner of your RefWorks homepage
  3. In the drop-down "Share" menu, choose "Export References":

  4. In the "From" submenu in the "Export References" menu, choose "All References in (Folder Name." In the "Format" submenu in the "Export References" menu, choose either BibTeX or RIS Format:

  5. Click "Export"
  6. Save the file on your computer and upload the file into your new citation manager
  7. Repeat the steps above to save citations from each folder you plan to export
