Iona Email: Faculty

Logging In

Outlook Web Access/Office 365 (only choose Office 365 if you have been converted from Outlook Web Access) is accessible via the MyIona Single Sign On System (SSO). To access Outlook Web Access/Office 365:

  1. Open your web browser.  
  2. From the Iona College homepage, go to Quick Links and select Online Services. You will see the MyIona SSO login page.
  3. Enter your Computer ID and Computer Password and click on the Login button. You will now see the MyIona SSO Landing Page.
  4. Click on the Office 365 or Outlook Web Access (if your account has been converted to Office 365) icon to access the application. No need to login again.

Please logout by clicking on the Sign Out button  on the upper right corner of the main SSO page

Forgotten Password Help

You can manage your Computer Password through the Netpass system. As long as you have set up your "forgotten password help" questions, you can change your password by clicking on the Forgot Your Password link on the Single Sign On System login page.

Using Office 365 (only relevant to faculty who have been converted from Outlook Web Access) & Connecting Your Email to Your Mobile Device

First-Time Configuration

  1. Click on the blue box titled “Outlook” on the Collaborate with Office Online screen.
  2. Keep the default language as “English (United States)” from the drop down menu.
  3. Choose the default time zone by choosing “(UTC-05:00) Eastern Time (US & Canada)”.
  4. Click Save.

Using the App Launcher  to Access Office 365 Apps (Located in the top left corner of Office 365)

  • Outlook – the main email area where you can read, compose, receive, and send email.
  • Calendar – scheduler/planner.
  • People – your contact list.
  • Newsfeed – area to post status updates, blog posts, and edit your profile.
  • OneDrive – contains the Office Web Apps and an area to store and edit different types of Office files.
  • Sites – create a new site, access your Team or Public site, and access sites you are following.
  • Tasks – add, view, and manage tasks.
  • Microsoft Office Web Apps (Word, Excel, PowerPoint, OneNote) – web-based versions of the Microsoft Office software that contain the basic functionality of the programs in browser format

To Send an Email

  1. Click on Outlook in the Dashboard.
  2. Click on the New button  on the top left corner of Office 365.
  3. Enter an email address, a subject, and message.
  4. Click the Send button.

To Read a Message

  1. Click on Outlook in the Dashboard.
  2. You can view a message in the Reading pane by clicking the message once.
    You can view a message in its own window by double-clicking on the message.

To Save an Attachment or Document on your User drive (U: drive)

  1. A paper clip next to a message means that your message has one or more attachments
  2. Click the message to view the message
  3. Double click on the attachment name of the document that you want to save to display the File Download dialog box
  4. Choose Save to display the Save As dialog box
  5. Select your User drive (for example, jdoe1 on student_mail (U:))
  6. Choose Save
  7. Choose Close on the Download Complete window
  8. Close the message when done

To Edit the Attachment

  1. Open the document that you saved on your U: drive
  2. Double click My Computer on your desktop
  3. Double click on the U: drive to display your documents
  4. Double click on the document you want to edit
  5. Make the necessary changes
  6. Save your document
  7. Close the document

To Find the Email Address of Someone at Iona

  1. Click on the App Launcher, and choose People, or open a new email.
  2. In People: In the search box, enter all or part of the persons name and click Enter.
    In Email: In the To: field, enter all or part of the persons name and click on Search Directory.
  3. In People: Click on the name of the person whose contact information you want to see.'

Deleting Messages - Outlook Web Access & MS Outlook Application

Microsoft Outlook Web Access

To select messages to delete:

  1. Check off the box to the left of the email(s) you want to delete
  2. Then click on delete from the inbox menu

OR

  1. Open the email you want to delete
  2. Then click delete from the inbox menu

To delete all messages in the 'Deleted Items' folder:

Internet Explorer

  1. Right Click on the 'Deleted Items' folder and choose 'Empty Deleted Items Folder'
  2. Click 'Ok'

Mozilla Firefox & Google Chrome

  1. Check off the Select All box (located to the right of the paper clip icon). 
  2. Then click on delete from the inbox menu

Microsoft Outlook Application

To delete all messages in the 'Deleted Items' folder:

Right Click on the 'Deleted Items' folder and choose 'Empty Folder'

Archiving Folders

Note: You can only archive folders in the Microsoft Outlook Application. Contact CELTIC for help at x2146.

To manually archive Outlook items, do the following:

Windows

  1. Click the File tab
  2. Click Cleanup Tools.
  3. Click Archive.
  4. Click the Archive this folder and all subfolders option, and then click the folder that you want to archive. Any subfolder of the folder you select is included in this manual archive.
  5. Under Archive items older than, enter a date.
  6. If you do not want to use the default file or location, under Archive file, click 'Browse' to specify a new file or location. Browse to find the file that you want, or enter the file name, then click OK. The destination file location appears in the Archive file box.
  7. Select the Include items with “Do not AutoArchive” checked check box to include any items that might be individually marked to be excluded from automatic archiving. This option does not remove that exclusion from these items, but instead ignores the Do not AutoArchive check box for this archive only.

Mac

  1. Click on the Tools tab
  2. Click on Export
  3. Click on Outlook for Mac Data File (.olm)
  4. Choose to either export by category or by file type(s)
  5. Click on the right arrow button to continue
  6. Choose either no, do not delete files or yes, delete items after they're exported
  7. Click on the right arrow button to continue
  8. Title and save the export file
  9. The archiving process will then begin processing
